Pay Day
Permanent employees are paid on the last business day of each month with the exception of December, when employees receive their pay earlier in the month. The pay that is received at the end of the month is for services performed during that same month. Any unearned leave taken in one month will be docked in the next month.
On pay day, each employee who is receiving a direct deposit of pay will receive an email in their university email account from the Payroll Office. A copy of the employee's Direct Deposit Advice will be attached to the email. The attachment is a password protected, encrypted PDF document.
In the event that a permanent employee is receiving a paper check, the paper check will be mailed to the employee's home address on pay day.
Monthly Payroll
The Payroll Department processes a monthly payroll for all permanent employees (faculty and staff) and for temporary flat-rate employees. The pay date for the monthly payroll is always the last business day of the month with the exception of December, when the pay date falls earlier in the month.
Permanent Employees
All Permanent employees are paid on the last working day of the month. Any changes to your address or deductions must be handled through Human Resources. Please check your Notice of Deposit to make sure that the changes are correct.
Bi-Weekly Payroll
The Payroll Department processes a bi-weekly payroll for all student employees and for temporary hourly employees.
Student Employees

Temporary Employees
Temporary employees who are paid an hourly rate are paid on a bi-weekly pay cycle. Temporary employees who are paid a flat rate are paid on the last working day of the month.
Bi-Weekly Pay Dates
Direct Deposit
WSSU requires that all permanent and temporary employees be paid by direct deposit, unless exempted by the Office of the State Controller. Those who are unable to secure an account at an eligible financial institution or who believe that enrollment in direct deposit will result in an extreme hardship may fill out an Exemption Request Form.
Direct Deposit of your pay is a safe and secure way to make sure you receive your net pay in a timely manner. The university sends your pay through Electronic Funds Transfer to your personal checking or savings account which ensures that your money is available to you without you having to make a deposit to your account in person. Direct deposit of your pay protects you against loss or theft of your pay check.
New employees must complete a Employee Self Direct Deposit Instructions and include acceptable documentation of their banking information.
Acceptable documentation for deposit to a checking or money market account:
- a PHOTOCOPY of a CHECK with preprinted name and current address
- a CHECK marked "VOID" with preprinted name and current address
- an official BANK FORM, certified and stamped by a banking official, which provides the account number and the bank routing number
Acceptable documentation for deposit to a savings account:
- an official BANK FORM, certified and stamped by a banking official, which provides the account number and the bank routing number
- a DEPOSIT SLIP with preprinted bank routing and savings account number
Direct Deposit Advice
On pay day, each employee who is receiving a direct deposit of pay will receive an email in their university email account from the Payroll Office. A copy of the employee's Direct Deposit Advice will be attached to the email. The attachment is a password protected, encrypted PDF document.
The password structure is as follows: First four letters of your last name (legal name), and last four digits of your social security number with no spaces.
Example: John Smith with SSN: 123-45-6789 would have a password of SMIT6789.
Payout Upon Separation
Payouts of any vacation, bonus, or comp time may be delayed until the end of the following month after separation.
