25Live Pro Use and Management Information
Overview
25Live Pro is Winston-Salem State University’s web-based scheduling and space information product. 25Live Pro assists you with two great things:
Reserving Spaces on Campus: Faculty and staff can search for available dates and venues and reserve spaces tailored to their specific needs.
Posting and Promoting Events: The 25Live Pro calendar is the best way to promote your events, trainings, and university-sponsored events.

Benefits
- Eliminates the need for multiple independent systems.
- Streamlines processes for departments involved with space and resource scheduling.
- Allows users to easily search for and browse events and spaces as well as find an available space to fit their head count.
- Empowers users to independently schedule conference space.
- Enables users to create customizable search preferences, including favorite spaces, favorite events, and favorite departments.
- Scheduled events can be posted to e-calendars on the university’s website and saved to personal Outlook calendars.
Getting Familiar with 25Live Pro
If you would like to get more familiar with 25Live Pro, there are several training opportunities. Designated campus personnel are available to assist with using 25Live Pro, whether it is training, scheduling or working with the calendar. Below is a list of contacts for every aspect of 25Live Pro.Use the tab to the left to sign up for face-to-face training or feel free to access step-by-step instructions below for self-training.
Location Approvers
Most spaces require approval from the location approvers prior to acquiring a space. A separate email confirmation of your room reservation will be sent once your space request has been processed. Please review the information below to learn more about scheduling space on campus.
Calendar Approvers
The 25Live calendar is the best way to promote your events, trainings, and university-sponsored events. Each calendar is managed by a calendar approver. Please use the information below to learn more about the calendar approvers.
The following steps offer you a calendar-friendly way to enter events into 25Live using the event wizard ab in 25Live. Be sure to save once all necessary items are populated.

The event title and description are great ways to bring awareness to your events. When placing your events on the calendar, be sure to pay special attention to the following pieces of your post.
- Event Name
- This is the functional name of the event. This will be the default listing that pulls to the calendar if no “event title” is chosen.
- To optimize your event, do not use ALL CAPS or repeated punctuation (e.g. !!!) in this field.
- This field has a character limit.
- Event Title for Published Calendars
- Choose a detailed and specific title that best represents the event, one that the target audience will understand.
- This title will override the “event name” and pull to the calendar.
- Event Type
- Be sure to choose the right event type.
- The event type does not pull to the calendar.
- Primary Organization
- It’s important to choose the right WSSU organization or department for the event.
- Secondary or co-sponsoring organizations can be entered into the “Additional Organization(s) for this event” section below.
- Expected Attendance
- Entering in the number of attendees expected ensures that the chosen space best accommodates the organization’s needs.
- This information does not pull to the calendar.
- Event Description for Calendar
- Think of this as your one chance to promote your event. Use exciting language, be descriptive, include important details so readers will be inspired to attend. Remember to:
- Use lively promotional language that is easy to understand.
- Give the reader all the information they need.
- Add links to buy tickets, register, etc.
- If the location is not being booked through 25Live, add the location in the description. Do not repeat the title, date or time here.
- The description pulls to the calendar, so make the reader want to attend.
- Think of this as your one chance to promote your event. Use exciting language, be descriptive, include important details so readers will be inspired to attend. Remember to:
- Repeating Events
- If this event happens only once, select no. This means that this is not a recurring event. (Select no, even if the event is held in multiple locations on the same day)
- If this event is happening more than once, select yes. (e.g. a weekly staff meeting)
- Choose how this event Repeats (i.e. Ad Hoc, Daily, Weekly…)
- Events can recur when there is no change to event times, names, description, etc.
- Choose a Start and End Time for the Event.
- The actual date and time entered will appear on the calendar.
- Uncheck the box below if the event does not begin and end on the same day.
- Choose whether or not the event requires additional time before/after for setup and takedown.
- Find and Select Locations
- Only use this feature if you are booking the location through 25Live.
- Once the location is chosen, the space/location approver will be notified.
- The selected location(s) will show up on the calendar.
- Additional Resources
- Please provide any equipment or services that are not associated with the specific location (e.g. Housekeeping, Security).
- This section is not applicable to calendar.
- Please use the Facility Information Form tab to request additional resources for the indicated venue’s reservation.
- Additional Event Info
Use this page to upload any additional information about the event (i.e. flyer, diagrams, etc.)
- Contacts
- This section generates automatically.
- The information can be updated by choosing a different scheduler or requestor.
- The contacts do not pull to calendar.
- Categories
- This is custom information only.
- If “Do Not Display on Publish Calendar” is chosen, the event will not appear on calendar.
- Calendar Audiences
Select the appropriate audience(s) for this event to send the event to its relative calendar(s).
- Do not choose the General Public Calendar if the event is for students or faculty/staff only.
- The calendar approver reserves the right to remove an event from the calendar.
- Additional Comments and Notes for an Event
- Use this page to leave additional instructions or event information for the calendar and/or space/location approver.
- This information will not be displayed on the calendar.
- Event State
Most request will be submitted with a TENTATIVE event state while under review by the calendar and/or space/location approver.
- Save Your Event
- Once the necessary information has been input, remember to save.
- A calendar event can be saved without a space reservation.
- A space reservation can be saved without having a calendar event.
- Once saved, the request(s) will be sent to the approver.
Event type "Section" is not associated with any calendars as it is an indicator of Banner classroom spaces.

For space reservations in Donald Julian Reaves Center (DJR) , C.E. Thompson Center, or Anderson Center please allow for at least a two week processing time prior to the desired date of the event to facilitate approval of the request.
